The printed allergen matrix was a reasonable answer ten years ago. Today it is often a liability: hard to read, slow to update and hostile to guests who need to avoid more than one allergen at once.
Live allergen filters on a digital menu are not just a nicer UX. They change how safely and confidently people order.
The matrix problem
A typical matrix lists dishes down one side and the 14 allergens across the top. In theory it is complete. In practice:
- Printouts lag behind recipe changes
- Multi-allergen guests manually cross-reference rows
- Lighting, laminates and tiny ticks make errors easy
- Specials sit on a whiteboard with no matrix line at all
Staff end up interpreting the grid under pressure — which is how confident wrong answers happen.
What filters do differently
A filter starts from the guest's constraint: "no gluten", "no milk", "no nuts". The menu then shows dishes that match those ingredient rules based on structured data.
Benefits:
- Guests with multiple allergies can combine exclusions
- The list shrinks to what is relevant instead of a wall of ticks
- The same data powers staff answers and guest self-serve
- Updates can propagate when recipes change — no reprint cycle
Filters are only as good as the data
A beautiful filter on incomplete recipes is theatre. You still need:
- Dish-level allergen flags maintained from ingredients
- A process for specials and substitutions
- Honest messaging about cross-contact where you cannot filter it away
Filters exclude dishes that contain allergens as ingredients. They do not automatically create a free-from kitchen. Say that clearly in your menu help text.
QR menus meet allergy needs where decisions happen
Most guests decide at the table. A QR code menu with allergen filters puts accurate information in their hands without waiting for a server who might be mid-rush.
That does not replace human care for complex cases. It handles the common path well so staff time goes to the hard questions.
Compared with PDF menus
PDFs combine the worst of both worlds for allergy: static layout plus zoom-and-hunt on a phone. When an allergen changes, the PDF is wrong until someone regenerates and re-uploads it. We have written before about why PDF menus fail — allergen accuracy is a big part of that failure.
Designing filter UX that feels calm
- Use plain allergen names, not cryptic icons alone
- Allow multiple active filters
- Show clear empty states ("No dishes match — try removing a filter or ask the team")
- Keep a path to contact staff for severe allergies

For operators evaluating the switch
Ask vendors (or your internal build) :
- Are filters driven by live recipe data?
- How fast do changes appear on QR and embeds?
- Can we add custom allergens beyond the 14?
- Can staff see the same truth as guests?
If the answer to those is yes, you can retire the laminated grid as the primary guest tool — keep a backup process for system downtime, but stop treating the printout as the source of truth.
